What are the costs involved?

The cost of attending our medical conferences varies depending on the destination, duration, and type of accommodations selected. Generally, costs include:

  • Conference Registration Fee – Covers CME/CPD-accredited lectures, expert speakers, and networking events.
  • Travel & Accommodations – Package pricing often includes lodging at premium locations, but you may have flexibility depending on the event.
  • Excursions & Activities – Many of our conferences feature adventure-based experiences, such as guided wildlife tours, glacier hikes, or cultural excursions. Some activities are included, while others may be optional add-ons.
  • Meals & Onboard Services – For conferences held on expedition cruises, most meals and amenities are included. Land-based events may include select meals.
  • Flights & Transfers – International airfare is typically not included, but we provide guidance on recommended travel routes.

Do you arrange flights?

While delegates are welcome to book their own flights, we offer the option to work with our trusted travel agent, who is familiar with all event dates and logistics. This ensures a seamless travel experience, including coordinated arrivals, recommended routes, and any necessary transfers. Additionally, we often secure group rate discounts, which can provide significant savings compared to booking independently. Can I bring family members?

Yes, absolutely! Our events are designed to be enjoyed with family, and in many cases, even close friends are welcome to join. Since our conferences take place in bucket list destinations, we encourage attendees to bring loved ones to share in the adventure. While the CME/CPD sessions are reserved for registered delegates, family members can participate in excursions, cultural experiences, and leisure activities. Some of our events even offer special programs tailored for non-medical guests.

What are the cancellation terms?

Our events are typically planned 18 months in advance, and to make participation more manageable, we offer flexible part-payment options over a 12-month period. We understand financial commitments vary, so we are happy to tailor a payment plan to suit your needs—with no penalties for a customized schedule. Standard Payment Schedule

  • Deposit (30%) – Required at the time of booking to confirm your reservation. Payable by bank transfer or credit card.
  • Second Payment (40%) – Due several months later (timing depends on the deposit date and event schedule).
  • Final Balance (30%) – Due a few months after the second payment.

Cancellation Policy Cancellations will incur a $1,250 per person administration fee charged by our suppliers. Additional cancellation fees may apply depending on how close to departure the cancellation occurs. We strongly recommend travel insurance to protect against unforeseen circumstances.
